Tour Operations & Client Relations Officer

About the role

The Tour Operations & Client Relations Officer will coordinate daily tour activities for Kitum Cave Safaris while serving as a primary contact for clients, partners, guides and service providers. This hands‑on role blends reservation management, client service, sales support and office coordination to ensure seamless travel experiences.

Key responsibilities

• Act as a main point of contact for existing and prospective clients via phone, WhatsApp, email and social media.
• Gather client travel preferences, budgets and interests to recommend suitable itineraries and packages.
• Prepare detailed itineraries, secure accommodation, transportation, airport transfers, permits and activity bookings.
• Communicate confirmed schedules to guides, drivers and partners, and keep clients informed of any changes.
• Handle client inquiries, concerns and complaints professionally, escalating serious issues when needed.
• Conduct post‑trip follow‑ups to collect feedback, encourage reviews and maintain long‑term relationships.
• Maintain accurate, up‑to‑date client records and documentation.

Required profile

• Entry‑level candidate with up to 12 months relevant experience.
• Highly organized, responsive and commercially aware.
• Comfortable interacting with people from diverse backgrounds.
• Proactive, able to work independently without constant supervision.
