School Administrator

About the role

The Administrator works with the Executive Director and managers to ensure the smooth, efficient, and professional running of Kampala Music School. This role leads the administrative function, coordinates operational services, maintains records, and supports the school’s academic, governance and compliance obligations.

Key responsibilities

• Manage lesson scheduling, room bookings and resource allocation, maintaining an accurate master timetable and communicating changes to students, parents and staff.
• Coordinate bursary administration, monitor attendance of bursary students and prepare monthly bursary reports.
• Lead administrative support for external events, transport services, caretaker and maintenance procedures, and security incident handling.
• Prepare donor reports and ensure statutory filings (URA, NSSF, NGO) are submitted on time in collaboration with the Finance and Administration Manager.
• Provide Board support including meeting logistics, minute taking, governance record keeping and follow‑up of actions.
• Oversee facilities management, ensuring cleanliness, maintenance, waste handling and optimal use of building space.
• Manage outreach programme administration, contracts, timetables, attendance tracking and reporting to partner schools.
• Coordinate ABRSM examination administration, maintain candidate database and ensure timely submission of documentation.
• Administer human resources functions such as maintaining employee records and ensuring compliance with employment regulations.
