About the role
The Agency Front Desk & Administration Officer will support the Hoima branch of Prudential by ensuring smooth daily operations and delivering high‑quality service to clients, agents, and internal teams. Reporting to the Agency Administrative Executive and the TRO, this role is the first point of contact for visitors and callers, and plays a key part in maintaining compliance and administrative efficiency.
Key responsibilities
- Manage all incoming and outgoing calls, maintaining detailed registers of callers and reasons for contact.
- Log walk‑in client visits, incoming letters, and outgoing correspondence.
- Track and record approved leave rosters, ensuring leave quotas are respected.
- Coordinate weekly agents’ and leadership meetings, sending links and reminders.
- Handle stock requisitions, petty cash, and ordering of marketing materials.
- Produce and verify agents’ ID cards and business cards, including QR code checks.
- Follow up on branch queries (commission, underwriting, finance) to ensure timely resolution.
- Enforce compliance standards for new business acquisition (PEP, anti‑money‑laundering).
- Conduct welcome calls for new clients and distribute policy documents to agents.
