About the role
The Agency Front Desk & Administration Officer will support the Jinja branch of Prudential by managing daily office operations, handling client and agent interactions, and ensuring smooth administrative processes. Reporting to the Agency Administrative Executive and the TRO, the role is central to maintaining professional standards and efficient service delivery.
Key responsibilities
- Manage incoming and outgoing calls, maintaining detailed registers of callers and purposes.
- Log all incoming letters, walk‑in clients, and outgoing correspondence.
- Track and record approved leave rosters, ensuring leave quotas are respected.
- Coordinate weekly agents’ and leadership meetings, sending links and reminders.
- Handle stock requisitions, petty cash, and ordering of marketing materials.
- Produce and verify agents’ ID cards, business cards, and QR codes.
- Follow up on branch queries related to commissions, underwriting, finance, and general issues.
- Enforce compliance in new business acquisition, including PEP and anti‑money‑laundering checks.
- Conduct welcome calls to clients to ensure satisfaction and prevent mis‑selling.
- Distribute policy documents from head office to agents and track acknowledgements.

- Customer‑focused with solid time‑management and flexibility to meet changing demands.
