About the role
The Administrative Assistant supports the daily operations of the YWCA Apartments under the direction of the Property Manager. This role requires strong interaction with residents, clients, and staff while maintaining high standards of professionalism and compassion.
Key responsibilities
- Perform basic administrative tasks such as filing, copying, faxing, scanning, mailing, and answering phones.
- Conduct interviews for annual re‑certification, complete related documentation, and maintain tenant tracking logs.
- Receive, prepare, and file work orders and maintain work order history.
- Utilize Boston Post property management software and related waiting‑list programs.
- Create and update spreadsheets, flyers, reports, and other documents as requested.
- Manage schedules, set up appointments, and send reminders.
- Enter data and complete projects accurately and on time.
Required profile
- Minimum of 2 years experience in an administrative assistance role.
- Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
- Excellent written and verbal communication skills in English.
- Professional demeanor with the ability to adapt to last‑minute changes.
- Highly organized and able to prioritize tasks to meet deadlines.
