Travel Assistant – Operational Support (Entebbe)

About the role

The Travel Assistant provides essential support for the movement of civilian and military personnel, including police, across member states for mission duties. Working within the Travel Service Line of the Regional Service Centre in Entebbe, the role reports to an operational Team Leader and operates under delegated authority.

Key responsibilities

• Coordinate travel arrangements for staff and dependents, covering air, land and sea movements.
• Calculate and initiate travel entitlements such as airfare, excess baggage, terminal expenses, airfreight and daily subsistence allowances.
• Perform complex lump‑sum calculations for travel entitlements.
• Provide up‑to‑date information on flight frequencies and advise on the most economical airfare rates in line with regulations.
• Supply rate and schedule data for budgeting purposes to programme managers.
• Contact airlines and travel agencies to secure reservations, negotiate reduced fares, group discounts and lower excess‑baggage charges.
• Issue tickets, resolve discrepancies and manage the shipment of personal effects and official cargo.

Required profile

• Ability to work under delegated authority and follow UN travel policies.
• Strong numerical skills for entitlement calculations.
• Effective communication with airline representatives and internal stakeholders.
• Attention to detail in ticket issuance and cargo processing.
