Senior Personal Secretary

About the role

The Uganda Heart Institute is looking for a Senior Personal Secretary in Kampala to support the Chief Executive and top management with high-level secretarial services, office administration and workflow coordination. The role requires absolute discretion and professionalism.

Key responsibilities

• Manage appointment schedules, diaries and official programmes together with the executive
• Take dictation and produce, proofread and present error-free official correspondence and documentation
• Ensure timely replies to enquiries and handle incoming mail and outgoing communications
• Organize meetings, draft agendas, take minutes and convey executive directives to relevant officers
• Prepare briefing packs, meeting documents and speeches accurately and on time; draft routine official letters independently
• Maintain the order, cleanliness and security of the executive office suite and confidential filing systems
• Requisition, monitor and manage office stationery and equipment, and supervise the registry, secretarial pool and support staff
• Conduct preliminary research to support executive reports, track project milestones and follow up on institutional deadlines
• Handle sensitive and classified information with strict confidentiality

Required profile

• Honours Bachelor's degree in Secretarial Studies or an equivalent qualification from a recognized institution
• Minimum of three years of experience as a Personal Secretary in government or an equivalent public/private institution
