Clerk of Works - Swap Station Rollout
Q-Sourcing · Kampala
Job description
About the role
Q-Sourcing Servtec, a manpower management firm operating in East Africa, is recruiting an experienced Clerk of Works for its client SPIRO in Uganda. The role is based in Kampala and covers the swap station rollout, tracking and documenting daily progress of civil works, electrical works, 3-phase meter installations and transformer installations across multiple sites. It focuses on accurate data collection, reporting and coordination, working closely with the technical team.
Key responsibilities
- Visit assigned swap station sites regularly to record progress on civil and electrical works, and collect daily vendor/contractor reports on work done, materials used, labour present and issues raised.
- Consolidate information into a daily/weekly progress tracker showing the status of each station, and take photos as evidence of progress.
- Maintain an Excel-based tracking system and build clear progress reports and dashboards for the Project Lead, flagging discrepancies between reported and observed progress.
- Update station status only after technical sign-off of critical milestones such as transformer commissioning, meter installation and earthing tests.
- Follow up with vendors on missing reports or delays, coordinate site access and logistics, and escalate safety concerns or access issues to the Project Lead.
- Work with the Energy Technical team on escalation of issues and scheduling of inspections and test sign-offs.
- Keep digital and physical records of vendor reports, photos and correspondence, and support summary reports for internal review, stakeholders and funders.
Required profile
- Diploma or degree in Business Administration, Project Coordination, Information Management or a related field; engineering background not required.
- 2-4+ years of experience in project coordination, site monitoring, data/reporting or a similar administrative-operational role, ideally with multi-site tracking.
- Experience working with vendors and consolidating field reports is a strong plus.
- Regular travel between sites and flexibility in working hours to match vendor reporting schedules.
Required skills
- Strong Microsoft Excel skills, including pivot tables, tracking dashboards and formulas (assessed).
- Attention to detail, good organization and clear written communication.
